Business systems update
Barminco’s intranet is designed to communicate and collaborate
with relevant audiences, however at a workshop held in August
to seek feedback on the current platform, it was confirmed that
it is not being used a great deal, except for accessing IMS.
Other feedback gathered during the workshop was that the
content is often outdated and no longer relevant, it’s too difficult
to access when not at work, there is a need to create a more
accessible location for storage of shared data and information,
and team members would like to create projects and functional
pages that will be ‘owned’ and updated by the site admins and
functional reps.
As a result of the feedback gained, it was decided that we would
address the re-vamp of the intranet in 3 parts; IMS would be
addressed first, essentially because this has a greater impact
on the wider business and our clients. And so that is where our
efforts are currently concentrated.
At the same time, workshops were also held in relation to
how we can meet our vision of a robust Business Systems
environment that is accessible from anywhere at any time. In
summary, the Barminco team thought there was a greater need
for better access ability to our data when out of the office and it
was felt that the use of cloud based services such as Office 365
and some of its functionality would be a good way of achieving
this. As a result, it has been proposed that the intranet/
SharePoint is housed in Office 365. An added bonus will be the
additional cost savings accrued by not having to run servers and
the need to have expertise in particular applications in house.
Rest assured that there will be further updates about our work
on Barminco’s intranet platform and the use of Office 365 in
future editions of this newsletter, so watch this space for
more details.
IT user guide
As an outcome from the Way We Work survey, the Business
Systems team is looking to implement best practices for the way
we perform our day to day work. To ensure we can manage the
jobs effectively, we ask that all jobs be raised through the Service
Desk by either sending an email to
Itservicedesk@barminco.com.au or by phoning 08 9416 1018. A ticket will be raised which will
provide you with a reference number. It will assist us in being
able to measure Service Level Objectives (SLO) as well as be
able to report on the type of work being generated and from
where. Each staff member within the Business Systems team
perform different roles so the incoming work gets prioritised and
assigned accordingly.

In an attempt to assist you further, we have put together an IT
user guide for all staff within Barminco which will appear in
your Internet Explorer favourites as an Adobe PDF document
named “Barminco IT User Guide”. It can also be found on the
intranet. This guide is designed to help you understand some
of the processes within the Barminco Business Systems
department including:
• The most appropriate way to contact us with an IT issue.
• The most appropriate way to order IT equipment.
The guide will also help you with common IT tasks including:
• Connecting to the VPN.
• How to reset your password.
• How to use Webmail when you are not at your normal
computer (important when travelling from site to site).
• How to setup Out of Office notifications.
• Identifying illegitimate e-mail and web links.
• How to restore deleted e-mails.
• How to restore files from shared folders that have been deleted.
• Connecting to printers within Barminco.
• How to map your shared drive if you have one and are not at
your normal computer.
The last section is general troubleshooting, including information
that assists us with your enquiry if we need to remotely access
your computer.
We encourage everyone to please read this document when
it comes out as it may help you with common IT issues that
you may face, saving you time in raising a ticket. We also
encourage everyone to point out to your workmates parts of
the document that may help them if they express any IT issues
that are covered by the document. This will be a live document,
so if anyone has any recommendations or requests for other
information that may assist you, please be in touch and we can
include your changes in the next version.
